Overview

The Licensing Coordinator works under the direction of the Licensing Manager and is responsible for assisting with loan officer and branch licensing in the Nationwide Mortgage Licensing System & Registry (NMLS) licensing process within the organization. This role plays a critical part in ensuring compliance with state and federal regulations related to mortgage lending. 

Essential Job Functions:

  • Confidentiality: Maintains confidentiality
  • Coordination: Develops and implements relationship strategies, satisfying customer needs with high touch customer service levels
  • Organization: Utilizes organizational skills and technology to ensure all company and retail licensing is compliant, as well as ongoing account monitoring for the Sales team’s needs
  • Communication: Communicates well verbally and in writing with any and all internal and external communications.
  • Equipment: Uses such office equipment as telephone, computer terminals, copiers and FAX machines.
  • Physical: Sits for extended time periods.  Hearing and vision within normal ranges.
  • Hours: This position is expected to cover 8:00 a.m. to 5:00 p.m. Eastern time.

 

Responsibilities

  • Update and maintain the company’s NMLS records, ensuring licensing requirements are up to date.
  • Implement and improve compliance process and licensing strategies to ensure compliance and efficiency.
  • Make realtime/same day updates to the loan origination system and develop safeguards around this process.
  • Escalate issues to Executive Management accordingly.
  • Prepare and submit NMLS license applications and renewals accurately and on time.
  • Monitor the status of license applications and troubleshoot any issues that may arise.
  • Maintain records of all license-related documentation and correspondence.
  • Act as a point of contact for regulatory agencies and respond to inquiries related to NMLS licensing.
  • Provide guidance and training to loan officers and branch managers regarding NMLS regulations and compliance.
  • Maintain accurate and organized records of all licensing-related activities.
  • Stay up-to-date with changes in mortgage industry regulations and NMLS requirements.
  • Other duties and tasks as assigned by management

Qualifications

  • Excellent written and verbal communication skills.
  • Technologically proficient in MS Windows and Office software
  • At least one year Experience in mortgage licensing role preferred – including loan origination system license management.
  • Attention to detail and strong organizational skills.
  • Ability to work independently and manage multiple tasks effectively.
  • Proficiency in using NMLS and related software tools.
